Job Description

Position Summary

The Staff Accountant is responsible for performing full-cycle accounts payable, accounts receivable, account reconciliations, and financial reporting tasks with a high level of accuracy, timeliness, and adherence to internal controls. This role supports month-end, quarter-end, and year-end close activities and ensures compliance with US GAAP. The ideal candidate is detail-oriented, organized, and capable of analyzing complex financial data in a fast-paced and evolving environment.


Essential Functions

  • Process full-cycle AP transactions, including validating approvals, confirming accurate GL coding, processing vendor bills/invoices, and submitting payments in accordance with company policies.

  • Prepare detailed monthly and quarterly grant invoices, ensuring precision, documentation accuracy, and compliance with funding requirements.

  • Prepare journal entries and perform thorough account reconciliations across key balance sheet and P&L accounts, including Cash, Fixed Assets, Prepaids, Accruals, and other assigned accounts.

  • Support month-end, quarter-end, and year-end close activities, including assembling monthly close workbooks, preparing schedules, validating entries, and ensuring deadlines are met.

  • Implement, maintain, and follow internal controls and accounting procedures, ensuring proper documentation and compliance with accounting standards and US GAAP requirements.

  • Analyze financial data and coordinate reporting, summarizing and presenting information in a clear, accurate, and meaningful format for management.

  • Assist with special projects, process improvements, and additional duties as assigned to support department and company initiatives.


Qualifications & Requirements

  • 2-3 years of relevant accounting experience in AP, AR, bookkeeping, or staff accounting.
  • QuickBooks proficiency (required); experience with Bill.com and Expensify is a plus.
  • Associate or Bachelor's degree in Accounting, Finance, or related field is preferred.
  • Strong understanding of accrual-based accounting and US GAAP principles.
  • Proficiency in Microsoft Office, including intermediate to advanced Excel (v-lookups, pivot tables, formulas).
  • Excellent analytical, quantitative, and communication skills.
  • Strong organizational skills, with exceptional attention to detail and accuracy.
  • Ability to meet critical deadlines, manage multiple priorities, and work with minimal supervision.
  • Comfortable operating in a changing and dynamic environment.
